Job Responsibilities

As an Operations Assistant, you will play a critical role in supporting the operational efficiency of IITA’s activities. Your responsibilities will include:

  1. Data Management and Reporting:
    • Calculate and input chargebacks into the Oracle database.
    • Promptly update the asset register in the Oracle system.
    • Prepare detailed reports, presentations, and correspondence as needed.
  2. Inventory and Asset Management:
    • Maintain accurate records of stocks, including cleaning supplies, stationery, and other items.
    • Oversee the issuance and record-keeping of diesel and fuel.
    • Ensure proper stock balancing and authorization for asset and furniture movements.
  3. Procurement and Vendor Liaison:
    • Prepare requisitions, Local Purchase Orders (LPOs), and expense reports in the Oracle database.
    • Support procurement activities, including inventory management.
    • Liaise with vendors, service providers, and contractors to ensure timely delivery of services.
  4. Administrative Support:
    • Assist staff without computer systems in preparing documents using the Oracle database.
    • Onboard new employees by preparing resources and conducting orientations.
    • Track and report key performance indicators (KPIs) for the station.
  5. Other Duties:
    • Perform any additional tasks assigned by the supervisor to support the smooth functioning of the station.

Qualifications and Requirements

To be considered for the role of Operations Assistant, candidates must meet the following criteria:

  • Educational Background:
    A Bachelor’s degree or HND in Business Administration, Finance, Accounting, Operations Management, or a related field.
  • Experience:
    At least two years of experience in a similar role within a well-structured organization.
  • Technical Skills:
    • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
    • Familiarity with inventory management tools and software such as Oracle is a plus.
  • Soft Skills:
    • Strong organizational and multitasking abilities.
    • Excellent communication and problem-solving skills.
    • A proactive, resourceful approach with the ability to prioritize tasks effectively.
    • Flexibility and adaptability to changing circumstances.
    • A commitment to maintaining confidentiality and professionalism.
