As part of our commitment to the successful delivery of the FCDO-approved FY25/26 Workplan, we are expanding our team and seeking a qualified Operations Assistant to support project operations at the Kaduna office.

  • Location: Kaduna, Nigeria
  • Reports To: Finance & Admin Coordinator (FACO)

Position Overview

The Operations Assistant (Kaduna) will play a key role in ensuring effective programme delivery by supporting the Technical and Operations teams.

This role is essential for coordinating logistics, managing project resources, and maintaining efficient administrative systems to meet tight timelines and evolving operational demands.

Primary Responsibilities

The successful candidate will be expected to:

  • Collaborate with the Technical Team to coordinate and support activities at the state level.
  • Manage logistics for project staff, consultants, and stakeholders including travel, accommodation, and transport arrangements.
  • Support the Finance & Admin Coordinator in administering project activity and staff travel advances.
  • Ensure the Kaduna office runs smoothly, with full functionality of facilities and equipment.
  • Coordinate event logistics including booking accommodations and liaising with vendors.
  • Work closely with the Security Team to provide journey management updates and maintain staff safety protocols.
  • Conduct initial review and verification of invoices and payment requests to ensure alignment with project financial processes.
  • Assist with procurement processes: clarifying specifications, evaluating quotations, and ensuring compliance with procurement standards.
  • Act as a point of contact for operational queries in the absence of the FACO.
  • Maintain and update the Fixed Asset Register; track asset movements and oversee repair approvals.
  • Monitor and schedule vehicle maintenance in line with Palladium standards and policies.
  • Ensure accurate record-keeping of all Kaduna office financial and operational documentation.
  • Communicate urgent operational issues to the FACO and assist with resolution.
  • Carry out any additional duties assigned by the FACO to support project goals.

Qualifications and Experience

  • A University Degree or equivalent in Business Administration, Accounting, Project Management, or the Social Sciences.
  • Demonstrated experience in office management, logistics, or administrative support roles.
  • Proficiency in Microsoft Office applications (Excel, Word, Outlook) and ability to operate office equipment (printers, scanners, copiers).
  • Excellent communication skills (oral and written), with the ability to engage across diverse cultures and work environments.
  • Strong organizational skills with attention to detail and the ability to manage multiple priorities effectively.
  • Good working knowledge of operational processes such as procurement, travel coordination, and financial recordkeeping.
  • Previous experience working in Northern Nigeria or similar settings is an advantage.
  • Familiarity with inventory management systems is highly desirable.
  • Demonstrated ability to work independently and as part of a collaborative team.
