Position Overview: Data Entry Assistant

We are seeking a detail-oriented and motivated Data Entry Assistant to support our operations in Bauchi.

This individual will play a vital role in maintaining high-quality, timely data entry into the Datalytics for Nutrition International Program (DANIP)—our customized DHIS2 platform.

You will work closely with Local Government Area (LGA) Officers and State Coordinators to ensure that all project facility register data is accurately entered, validated, and archived.

Key Responsibilities

Data Entry & Management

  • Enter all project facility register data into the DANIP system each month, ensuring completion by the 28th of the following month.
  • Cross-check physical registers against DANIP entries, identifying and resolving discrepancies in coordination with LGA Officers.
  • Collect and review completed register forms from LGA Officers, verify completeness, and archive them in both physical and digital formats.
  • Maintain a well-organized, secure document archive, clearly labeled by facility and reporting period.

Data Quality Assurance

  • Perform regular data validation checks (including duplicates, missing values, and outliers) using the DANIP system.
  • Collaborate with LGA Officers to promptly resolve errors within two business days of detection.
  • Monitor and report data entry completion rates per facility and per month, flagging gaps and proposing corrective actions.
  • Triangulate facility data with entries in the NHMIS system to ensure consistency and accuracy.

Capacity Building & Support

  • Assist in training facility-based health workers on proper data entry techniques, documentation standards, and data security practices.
  • Provide routine technical support to LGA Officers and the State Coordinator on data tools and systems.
  • Contribute to documentation of lessons learned and best practices in data management.

Deliverables Summary

  • 100% data entry completion for monthly registers by the 28th of each month.
  • Weekly reports on data entry progress, issues encountered, and corrective actions (submitted every Friday).
  • Monthly consolidated report by the 30th, detailing data quality outcomes and actionable recommendations.

Qualifications & Experience

Education:

  • Bachelor’s degree in Statistics, Public Health, Nutrition, Computer Science, or a related field.

Experience:

  • Minimum of 2 years in data management or monitoring & evaluation within the health or development sector.
  • Proven experience working with DHIS2 (at least 1 year required).
  • Strong command of Microsoft Excel (pivot tables, lookups, basic formulas).
  • Experience working with national or international NGOs, especially in the nutrition or health sectors.
  • Familiarity with both quantitative and qualitative data collection techniques.

  • Excellent communication and interpersonal skills.
  • Self-motivated, with the ability to prioritize and manage tasks independently.

  • Strong collaborative skills and the ability to work with diverse stakeholders including government and NGO partners.

Language & Travel

  • Fluency in English and the local language spoken in Bauchi is essential.
